- Non-business documents
Such as junk mail/flyers.
- Business documents for which an authorised scanned image is an acceptable substitute
There are two situations in which these kinds of documents can be destroyed:
- In line with the retention schedule
- Earlier than the date specified in the retention schedule provided an authorised copy has been successfully made, in this case the authorised copy will then be retained according to retention schedules.
- Business documents for which an authorised copy is not an acceptable substitute
Documents can only be destroyed according to the retention schedule. Any copies of this information must be destroyed at the same time. These documents must only be destroyed using a means of destruction that is sufficiently secure. The degree of security needed depends on the importance of the information. A secure method is a cross-cut shredder, this is the most common and easiest way to shred.
